Location: Vancouver, Canada (remote‑flexible)
Reports to: CEO

Role Summary

As Business Operations Manager, you will be the CEO’s operational partner and the connective tissue across the organization. You’ll manage administrative functions, streamline processes, liaise with internal and external teams, and step in wherever execution is needed to keep the business running smoothly. This role is highly execution‑focused, with a mix of administrative, operational, and process‑improvement responsibilities.


Key Responsibilities


Executive & Operational Support
  • Support the CEO and COO in administration and organization, meeting prep, and follow-up.
  • Track and drive key initiatives forward in partnership with the Strategy & Operations Lead.
  • Develop a decision matrix to route approvals between the CTO, CEO, and team leads.
HR Administration
  • Support the CTO and CEO with contracts, onboarding/offboarding employees, and tracking key dates like reviews and renewals.
Work with External Teams
  • Liaise with outsourced finance, revenue operations, and other external vendors to keep deliverables on track.
Process Ownership & Improvement
  • Create and refine checklists, templates, and documentation to make operations more efficient.
  • Identify gaps and implement small operational fixes proactively.
Gap Filler / Execution Support
  • Step in where execution is lagging to ensure projects, events, and admin tasks move forward.

What You Bring

  • 3‑5 years of experience in business operations, executive support, or project coordination roles.
  • Strong organizational and multitasking skills; able to thrive in a dynamic environment.
  • Experience working with cross‑functional and external teams.
  • Tech‑savvy with Google Workspace or Office 365; familiarity with CRMs, project tracking, or HR tools is a plus.
  • A proactive, “get it done” mindset with a focus on problem-solving and follow-through.
